Expected Guest and Visitors Pass

Staff and Faculty with upcoming guests and visitors may log into the Otis Employee portal and fill out the Expected Visitor Registration form. Upon your visitors' arrival, have them speak to the Campus Safety Officer at the main entrance or by using the intercom if an officer is not present. 

Staff and faculty can request visitor parking passes using the Otis Portal.

Campus Safety will check in your visitor/guest, and you will be automatically notified via email. Vehicle registration for guests will be available within the same link. Guests will be provided with a temporary parking pass upon their arrival. Please have the guest's vehicle information available when scheduling.

For large amounts of guests, large-scale events with a guest list, or publicly accessible events, please submit the Special Event Request Form. A special event is defined as any on-campus event that includes EITHER outside vendors, animals, food trucks, serving of alcohol, OR mid-size to large events (50+ attendees or open to the public). 

This form should also be used for: MFA Thesis shows, Benefits Fairs, Grill and Chill, O-Launch, etc. 

All special events at Otis College require prior approval and submission of this form at least 14 days in advance to ensure enough time to process required paperwork, gather necessary permissions, and provide enough lead time to support staff in Facilities Management, Information Technology, Catering, and/or the Video Lab/Media Services. For large events, the Fire Marshal requires two weeks' advance notification to evaluate and approve.

Otis College is a dry campus; however, alcohol may be served at approved special events only through a licensed, bonded bartender, within the approved timeline, and with required crowd control measures in place. For a large public event, it may be necessary to apply for a temporary permit or exemption from the Police Commissioner's Office.

Students who are expecting visitors may reach out to the Campus Safety and Security Office for access to the Visitor Registration System. Students will be expected to meet their guest/visitor at the main entrance after check in.
