Step By Step Process:
Chairs, Assistant Chairs, Academic Directors, Full-Time and Adjunct Faculty are welcome to propose and lead Travel Study Courses.
NOTE: When proposing a Travel Study course, you are asked to consider current travel advisories for your intended travel destination. Please visit the U.S. Department of State Travel site to learn more about your intended destination here.
Travel Study proposals for Spring are due July 1st, the semester before intended departure.
NEW FACULTY- LED TRAVEL STUDY COURSES
The following steps are for faculty who are proposing a travel study course for the
first time and are not renewing a previously run course. Travel Study proposals for
Spring are due July 1st, the semester before intended departure.
Step 1:
Discuss: Travel Study possibilities with your supporting co-faculty (if you have one)
and relevant Department Chairs. Review: Frequently Asked Questions (FAQs)
Step 2:
Complete the Travel Study Developer Questionnaire before you work on the proposal packet. The Travel Study Developer Questionnaire
will assist you in working with the related department(s) and program provider to
craft your travel study course.
Step 3:
Contact the Program Provider ETA and begin working on an itinerary/ budget for your
course (if not ETA, and as arranged and approved with Matthew Penkala.) The Travel and External Study Coordinator or Matthew Penkala can help you through
this process. If you choose to use a different program provider than ETA, it will rest on you to
locate a local ground operator or partnering institution that can assist with the
program logistics and facilitation of your course that meet the standards of the college
as it relates to safety and liability concerns. This new provider will need to complete
and submit the Program Provider Request Form.
Note: The provider will work with you, coordinating any plans, answering your questions
regarding on-the-ground transportation, hotels, museums, flights, and any other logistical
questions. Once your itinerary is established to best represent your academic intentions,
you will be provided a quote that will be used in the next step of the proposal process.
Step 4:
Complete the Faculty-Led Travel Proposal (includes section for your proposed Budget). Once you have completed the Travel Study
Developer Questionnaire and it has been approved by the respective department(s),
and you have developed a preliminary itinerary and budget with ETA, you are ready
to complete the Faculty Led-Travel Study Proposal.
Step 5:
Submit your Faculty-Led Travel Study Proposal and supplemental materials to Matthew
Penkala and/or the Travel and External Study Coordinator (submit electronically).
This proposal must be approved by the department Chair hosting the course in order to be reviewed by
the International Education Steering Committee.
Step 6:
The International Education Steering Committee and the Provost will review the proposal
for final approval.
Faculty Renewing A Travel Study Course Run Previously
Travel Study proposals for Spring are due July 1st, the semester before intended departure.
Step 1:
Contact your Program Provider and begin working on a preliminary itinerary/ budget
for your course.
Step 2:
Complete the Faculty-Led Travel Proposal (includes a section for your proposed Budget). Once you and your program provider
have developed a preliminary itinerary and budget, you are ready to complete the Faculty-Led
Travel Proposal.
Step 3:
Submit your Faculty-Led Travel Proposal and supplemental materials to Matthew Penkala (submit
electronically). This proposal must be approved by the department Chair hosting the course in order to be reviewed by
the International Education Steering Committee. The final proposal must be approved
by all aforementioned parties in order for the Travel Study course to be considered
by the committee and to run.
Step 4:
The International Education Steering Committee and Provost will review the proposal
for final approval.
